Privacy Policy

Reachwise is a mobile app made by Little Family Ventures LLC ("we", "us") for teams that go door to door: church outreach and bus ministry teams, sales and service teams, political campaigns and fundraisers. This policy explains what information Reachwise handles, why, and the choices you have. It covers the app's users (the volunteers, staff and leaders on a team), the text message alerts we send, and the forms on this website. Each church that uses Reachwise also shows the households it visits its own privacy policy inside the app.
Information we handle
- Your account: your email address, the name you choose to show your team, and the teams you belong to and your role on each (director, leader, driver, or knocker).
- What teams record: the addresses and map locations of homes visited, the date and outcome of each visit, tags such as interests and languages, notes, and follow-up reminders. A sales team can also record a sale's amount, details it chooses (such as a current provider or a roof's age) and photos it takes (such as a roof or a meter), which its directors and leaders see, along with whoever added or visited that home and anyone assigned to follow up there. A household's phone number or email is saved only if they offer it and agree to it being saved.
- Bus rosters: for bus ministries, the stops on each bus route and the riders at each stop (such as names, birthdays, pickup addresses, and parents' or guardians' names and phone numbers), entered by the church with the family's permission.
- Signed forms: when someone signs a form on a team member's phone (such as a sales agreement, a pledge, a campaign form or a bus rider permission form), the form as they saw it, what was filled in (which may include their name, address, phone, email, an amount, and on a bus form their children's names, grades and birthdays), their signature, the time they signed and their agreement to sign electronically.
- Your mobile number for text alerts: only if you turn on text alerts (see below).
- Your location: used on your phone while the app is open, to show where you are on the map, and not stored. The one exception is on a sales team, if you turn on “Track me while I'm on shift”: until you turn it off, sign out, or 12 hours pass, your phone sends where it is about once a minute while you move, even with the app in the background, and your team's directors and leaders can see where you are and the path you walked. You see your own. Shift locations are deleted after 30 days, or when you delete your account. It's off unless you turn it on, and church teams can't use it.
- Payments: when a director subscribes, the plan, the number of seats, the billing period and whether the subscription is active. On our website, Stripe takes the card or bank details and the billing email; we never see or store card numbers. In the iPhone app, Apple handles the purchase; we receive only the subscription's ID, product and status, linked to your team, never your Apple ID or payment details.
- Payments to an organization: when a team asks someone for a deposit, a gift or a campaign contribution, the amount, what it's for, whether it was paid or refunded, and the payer's name, email, phone and address. For a campaign contribution, also the employer, occupation and confirmations the law requires. Stripe, the payment processor, takes the card or bank details for the organization's own Stripe account; we keep only the method and its last four digits.
- What you send through this website: the details you type into our contact, quote and church verification forms, and any document you attach.
How it's used
We use this information only to run Reachwise for your team: to share visits, follow-ups, areas and rosters with the right people on your team, to send the reminders and alerts you ask for, to answer your questions and set up your team, to verify a church's tax-exempt status for at-cost pricing, and to keep the app working and secure. We never sell personal information or use it for advertising.
Who can see it
- Only members of your own team, according to their role. Directors see the whole team's information; leaders see their routes, areas or territories; drivers see the rosters of the routes they drive; knockers see their own visits. When a director or leader assigns a knocker a household to visit, the knocker also sees what they need for that visit until it's done: for a bus roster stop, the address, where to wait, the pickup time, the parents' or guardians' names and phone number and the children's first names; for any other home, its contact details, visits and recorded details. Other teams that use Reachwise can't see your team's information.
- Service providers that run parts of Reachwise for us, only as needed: Supabase (stores the team's information, on servers in the United States), Google Maps (shows maps, and suggests addresses and places as you type in the map’s search, using what you type and roughly where you are), Twilio (sends text messages), Stripe (takes payments on our website, and processes payments to the organizations that use Reachwise), Apple (takes payments in the iPhone app) and Netlify (hosts this website and receives its forms). They may not use the information for their own purposes.
- OpenStreetMap's public servers, to find the house numbers along a street a director or leader sets up. The app sends only the street's line on the map, nothing about any household.
- When the law requires it.
Signed forms
The team that collects a signed form decides what's on it and keeps it as its record. Directors, the leaders of the house's area and whoever collected it can see it; on a bus form, the route's leaders and drivers. The person who signed gets a copy as a PDF by text or email, or a private link (reachwise.org/copy.html) that shows only that form to whoever has the link. A team can mark a form canceled. If a household asks the team to delete their information, their pledges and campaign forms are deleted; sales agreements and bus permission forms stay, as records the team keeps.
Integrations your team turns on
A director can connect their team to other software on the Reachwise website (reachwise.org/manage → Integrations), such as Planning Center, HubSpot, Salesforce, NationBuilder, Mailchimp or Google Calendar, or to other apps through Zapier with an API key made in the app. The director chooses which kinds of records each connection gets. Whatever the team sends (such as visits, follow-ups, appointments, notes, signed form details, kiosk guest cards and the contact details households agreed to share) is then handled by that software under its own terms. The sign-ins and keys for these connections are stored encrypted, can't be seen by anyone on the team after they're saved, and are used only to send what the team chose. A director can also import a spreadsheet of addresses, leads or a bus roster on the website (reachwise.org/manage → Import); phone numbers and emails in it are saved only when the director confirms those households agreed to be contacted. Addresses sent to Reachwise from other apps or in an imported spreadsheet are looked up with the U.S. Census Bureau's geocoder to place them on the map. A director can pause or disconnect a connection, or turn a key off, at any time; disconnecting deletes the stored sign-in.
Google Calendar. If a director connects Google Calendar, Reachwise asks Google for permission to see their list of calendars, so they can choose one, and to add and change events. Reachwise uses it only to put the team's appointments on the chosen calendar and keep them up to date when they're moved or canceled. It doesn't read the other events on your calendars. It keeps only the name of your main calendar (often your email address) to label the connection, the ID of the calendar you chose and the IDs of the events it added. It doesn't use Google data for advertising, sell it or share it with anyone else, and no person at Reachwise reads it unless you ask us to help with a problem or the law requires it. You can disconnect in Reachwise, or remove Reachwise's access at myaccount.google.com/permissions, at any time.
Reachwise's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Text message alerts
If you turn on Text me alerts in the app (More → Alerts) and enter your mobile number, we text you alerts for your team, such as ride requests. We use your number only to send these alerts.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. We share your number only with our text message provider, Twilio, to deliver the alerts.
Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop, or HELP for help. You can also turn text alerts off in the app at any time.
Texts to bus ministry families
A parent or guardian who agrees to bus texts, by turning on “OK to text me about bus pickups” on the bus rider permission form or by telling the church's bus ministry it may text them, may get texts from Reachwise for that church about the bus: pickup times and reminders from the route's leaders, and on Saturday afternoons a note when the bus workers came by and nobody was home. Agreeing isn't required to sign the form or to ride the bus, and a family that leaves it off isn't texted. Each text comes from Reachwise's own phone number, in Reachwise's words, and names the church it's for (an example of the opt-in).
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. We share the number only with our text message provider, Twilio, to deliver the texts.
Message frequency varies, usually a few texts a week at most. Message and data rates may apply. Reply STOP to any text to stop them, or HELP for help. A family can also ask the church to stop texting them.
Households a team visits
The team that visited a home decides what it records about that household, and is responsible for it. A household can ask any volunteer at their door, or the team, to delete their information; the app then deletes their phone number, email, notes, visit details, and a sales team's details and photos of their home, keeping only the address and date and any request not to be visited, so the team can honor it. Households can also contact us at the address below and we'll pass the request to the team.
Children
Reachwise is for adult volunteers, staff and leaders, not for children. Children's information appears only on a bus ministry's roster and its bus rider permission forms, entered or signed by a parent or guardian, and seen only by that church's directors and the leaders and drivers of that child's bus route (and whoever collected the form). A volunteer assigned to visit the family sees only the child's first name, until the visit is done. A parent or guardian can ask the church, or us, to remove it.
Our website
This website doesn't use advertising or tracking cookies, and it doesn't run analytics. When you send a form, Netlify delivers it to us. We use what you send only to reply, set up your team or verify your church, and we delete church verification documents once we no longer need them to support the at-cost price.
Keeping and deleting information
Payments to an organization are financial records it must keep (campaigns, by law), so a household's deletion request doesn't remove them. We keep information while your team uses Reachwise. You can delete your account at any time in the app (More → Delete account), or ask us on our account deletion page without the app. Visits you recorded stay with your team; your name is removed from them. To have other information deleted, contact us.
Security
Information is sent over encrypted connections and stored with access rules that limit each person to what their role allows. No system is perfectly secure, but we work to protect your information.
Changes
If we change this policy, we'll update it here and change the date at the top.
